The short answer
How much does a CRM cost per year?
For a per-seat CRM, multiply the seat price by the people who log in and by 12, then add any required onboarding fee. At 20 people billed yearly that is $1,680 a year on HubSpot Sales Hub Starter at its current promotional price, $3,360 on Zoho CRM Standard and $9,360 on Pipedrive Growth. Flat-priced CRMs charge one price for the account: LiftUp Growth is $1,490 a year for up to 20 people.
How it works
How the totals are worked out.
01
Per-seat plans: price × people × months
Yearly billing uses the per-month price the vendor shows for yearly plans. A plan sold only one way (Salesforce Pro Suite yearly, Less Annoying CRM monthly) is priced the way it’s sold, and the row says so.

02
Required onboarding fees are added once
HubSpot requires a one-time onboarding fee on Sales Hub Professional ($1,500) and Enterprise ($3,500). It counts in year one and in the three-year total.

03
Promotional prices are labelled
HubSpot Sales Hub Starter shows $10 a seat monthly or $7 yearly for new customers, against a $20 list price. The calculator uses the price on the page and notes the list price.

04
Seat bundles count as sold
monday CRM sells at least 3 seats, then bundles of 5, and quotes above 40. Twelve people are billed as 15 seats.

05
Seat caps take a plan out
Free and small-team plans stop at a seat count: HubSpot Free and Salesforce Free Suite at 2, Zoho Free, Freshsales Free and Attio Free at 3, Attio Plus at 10, Close Solo at 1. Above the cap the row shows n/a.

06
Flat plans: one price for the account
GoHighLevel and LiftUp charge per account. LiftUp’s calculator row picks the smallest plan whose users and products both fit: Free for 2 users and 1 product, Starter for 5 and 3, Growth for 20 and 10.

Worked example
20 people, 3 brands, billed yearly.
- GoHighLevel Starter (flat)
- $2,910
- LiftUp Growth (flat)
- $4,470
- HubSpot Sales Hub Starter
- $5,040
- Zoho CRM Standard
- $10,080
- Salesforce Starter Suite
- $18,000
- Pipedrive Growth
- $28,080
Three-year totals. HubSpot’s figure uses its promotional $7 seat price; at the $20 list price it would be almost three times higher ($14,400). Plans differ in what they include, so a cheaper row is not always the same product.
Good to know
What the totals leave out.
- Add-ons, extra contacts, extra storage and paid integrations, which most vendors price separately.
- Discounts you negotiate, non-profit pricing and regional prices outside the US.
- Tax, which depends on where you buy.
- Features. Two plans at the same price can do very different jobs, so open the vendor link before deciding.
- Capsule CRM, whose prices load by region and couldn’t be confirmed.

When is a per-seat CRM cheaper than a flat one?
For small teams. At a few seats, low per-seat prices (Freshsales Growth at $9, HubSpot Starter at its $7 promotion) beat a flat plan. The flat price wins as headcount grows, because adding a person adds nothing. The calculator shows the crossover for your numbers.
Why does the calculator say LiftUp is not the cheapest?
Because at some team sizes it isn’t. We list every row we can price and sort by the three-year total, LiftUp included. GoHighLevel’s Starter plan, for example, is flat and lower, though it is built for funnels and messaging rather than a CRM with a blog CMS.
How often are the prices checked?
Every price was read on the vendor’s own pricing page on 2026-10-18, and we re-check every vendor at least every three months. If you spot a change before we do, tell us and we update the page.
Does the number of brands change the price?
Not for per-seat CRMs here: one account holds any number of brands. LiftUp plans include a number of products (1, 3 or 10), so many brands can move you up a plan, which the calculator accounts for.
Are taxes included?
No. All prices are before tax, in US dollars, as each vendor lists them for US buyers.
